Position Summary:
Performs administrative duties and carries out responsibilities in the following areas (including, but not limited to): office and clerical support services, general administration, shipping/receiving, reception, purchasing, facilities, security support, invoice of services, and complaint processing (customer service).

Key Responsibilities: 
Office, Clerical, and Administration Support:

  • Conduct and coordinate administrative duties such as calendar management, expense reports, travel coordinator, and vendor contract logistics
  • Perform general clerical tasks such as photocopying, faxing, mailing, and filing
  • Assist departments with projects as necessary
  • Update contact list and other documents (including, but not limited to, parking log, visitor badges, and work orders as applicable)
  • Inventory/order office and/or kitchen supplies and keep cabinets and supply closets stocked
  • Keep copiers stocked with paper and maintained properly
  • Manage purchase requests, work orders, and service orders  as required

Reception:

  • Ensure the efficient functioning of the front desk
  • Handle incoming phone calls and welcome visitors
  • Manage conference room bookings

Other duties as assigned or requested

Qualifications:

  • College degree or equivalent preferred
  • Minimum 2 years of experience in administrative support
  • Excellent oral and written communication skills
  • Proficiency in Microsoft Office
  • Knowledge of Adobe and/or Visio preferred
  • Detail oriented and well organized with the ability to multi-task
  • Excellent time-management and follow-up skills required
  • Ability to work in a fast-paced, diverse work environment
  • Ability to work independently and be self-motivated
  • International experience preferred
