Project Coordinator

Description

Position Responsibility:

Responsible for administrative and program operations support for the entire project team. Tasks may include attending and recording meetings, arranging travel, assisting in production of presentations and documents, research vendor resources, and ensuring the general day-­to-­day smooth running of assigned projects. While this consists of a wide range of short-­to-­medium-­term goals, the longer term goal is to ensure that each project reaches all its targets on time, within budget and to a satisfactory standard. This can only be achieved if the whole team works together and is supported effectively. Growth opportunities for the Project Coordinator are: Project Manager, Account Manager, and Producer. 

Responsibilities Include:

• Research clients company culture and branding and summarize as a reference tool for all program
collaborators.
• Manage project calendar
• Assist in creating and distributing job codes for new projects
• Track hours against projections through online hours tracking system
• Create RFP’s for vendor procurement
• Research site/venue options and availability as needed
• Collaborate with in-­house designers to develop graphics and maintain signage grids as needed
• Coordinate travel, hotel and rental car arrangements with company travel agent
• Complete and submit hotel credit card authorization forms
• Create and ensure execution and distribution of independent contractor (IC) paperwork (deal memos,
NDAs and W-­9s)
• Create and track purchase approvals
• Receive and process invoices to Accounting;; maintain electronic copies.
• Support Program Budget Owners as needed with final invoice/expense audit against reconciled budget
• Attend pre-­production meetings and record and distribute meeting minutes

Education & Experience 

• Bachelor’s Degree preferred
• 2-3 years experience in an office environment in similar role preferred
• Knowledge of accounting, data and administrative practices and procedures
• Strong proficiency using Microsoft Excel
• Knowledge of all Microsoft Office programs including Excel, Word, and PowerPoint
• Previous accounting experience helpful
• Familiarity with Google systems a plus (Gmail, Google calendar, Google Drive)
