The Materials Logistics Coordinator is responsible for planning, scheduling, procuring, coordinating and delivering all construction materials required for our project teams to meet and exceed our customers build expectations. This individual will be responsible for partnering with internal teams, external teams and vendors to ensure our team’s success is never negatively impacted by material issues. This individual will not only be responsible for executing the processes in place for material management from beginning to end but will also be a valued asset in making recommendations designed to improve business results for all inventory activities.


-Receive and process project BOMs submitted by construction teams

-Vet submitted BOM for validity of material accuracy based on scoping and customer requirements -Review BDM/CDs to determine all equipment needed to complete build

-Upload all materials to customer and Vinculums’ systems

-Ensure all material purchases are funded by customer POs, exceptions to be approved at Director level

-Partner with warehouse team to fulfill any materials requested with instock inventory

-Provide warehouse team with work orders for all material being issued from open stock

-Reach out to appropriate vendor(s) to fulfill all site material needs not fulfilled by the warehouse

-Create all required material POs in Netsuite

-Track required delivery dates for all materials, with specific attention to long lead materials

-Consistently communicate all material availabilities with sub-project CMs

-Coordinate with CMs, Warehouse Mgr and GCs for material pickups

-Request monthly forecast meeting with project PMs, Logistics Mgr and Warehouse Mgr to determine future material needs, opportunities and action items

-Provide material true-up forms to GCs when requested, following construction completion

-After material return is approved by the warehouse team, true-up NetSuite and Norad to correspond with the final list of materials used to complete build

-Provide the warehouse team with a list of required reservation moves when necessary

-Complete and recognize all material work orders after sites are final submitted to the customer

-Maintain the material ordering BOM(s)

-Build and develop strong working relationships with material suppliers and manufacturers

-Experience in a Buyer Role

-Degree in Logistics and Supply Chain Management


Work schedule is Monday through Friday. Occasional evening and weekend work may be required as job duties demand.


Travel to warehouses and offices as needed, up to 50%

Operating a forklift and driving a Class C motor vehicle is also a requirement of this position, and all of the physical demands therein required are applicable.

This job requires working indoors in non-climate controlled conditions. At times may require working outdoors, exposed to all weather conditions (above 90 degrees or below 32 degrees depending on the time of year). This role routinely uses office equipment such as a computer, phones, photocopiers, filing cabinets and fax machines and phone and mechanized equipment such as pneumatic tools, hand or power tools, lifts, other power equipment. While performing the duties of this job, the employee will be required to operate a motor vehicle and be required to operate a forklift. May be exposed to conditions that would require the use of Personal Protective Equipment. Working at heights. Exposure to sounds and noise levels that may be distracting or uncomfortable.
