Overview
The National Portfolio Manager Maintenance is accountable for executing all established facets of ongoing planned, predictive, preventative, and on-demand maintenance/replacements/repairs, with a high level of service to internal customers, with guidance and support from the Director Facilities Planning & Special projects.
Specific responsibilities include (but are not limited to) the following:
- Manages and adheres to approved operational and capital projects within budgets and seeks proper approval for extraordinary expenses when required
- Engages, collaborates with and provides guidance to the local Store Facilities teams through biweekly conference calls, leveraging best practices and sharing ideas
- Documents and prepares for approval all new or existing RFP’S, RFQ’S, business cases and R.O.I, when required, in order to support repair and project expenditures
- Assists the Director Facilities Planning & Special Projects with overseeing the National Contract Administration, reviewing contractor performance to ensure SLAs are adhered too and formally reviewing these relationships every 3 years
- Ensures compliance with all Vendors through the Contractor Check system
- Available on-call 24/7/365 as periodically required, to act as the SME to troubleshoot and identify solutions in critical situations (both emergency and non-emergency), when the Director Facilities Planning & Special Projects is unavailable
- Owner of the CMMS system ensuring accurate and up-to-date hierarchy, dispatching of requests and reconciliation with other users does not exceed PO, while providing a variety of reports including by not limited to: usage, costs, averages, etc.
- Champion for change and continuous improvement by maintaining a focused and positive attitude with every changing and shifting priority, while still delivering on desired results
- Reviews compliance issues when identified, escalating to Director Faculties Planning & Special Projects when needed and communicates with inspectors and authorities when requirei
- Partners to ensure equipment and controls provided for energy consumption, recycling/waste reduction measures and energy control systems are maintained to allow proper reduction of company’s carbon footprint
- Working with the Joint Health & Safety Committees, ensure Health & Safety initiatives and recommendations are identified and implemented to mitigate risk to both persons and property
- Communicates up-to-date information on facilities projects to internal and external stakeholders so they remain informed on project status and deliverables
- Maintains for Stores, SSC and Distribution Centre the facility equipment and resources that are in place for normal and non-routine situations (i.e. Crisis Management)
The ideal candidate:
- Post-secondary degree in Facility Management or Building Maintenance related field with the ability to read and understand blueprints
- Designation of CFM (IFMA) FMA (BOMI) or RPA (BOMI)
- Minimum 3-5 years’ experience in Facilities Management or Building Management
- In-depth knowledge of all Building envelope, Structural, and Sciences (i.e. HVAC, life safety mechanical plumbing)) including Building and Fire code compliances
- Strong computer skills (Microsoft Office, Excel)
- Effective communication skills with the ability to articulate clearly and concisely
- Well developed project management and organizational skills with the ability to multi-task
- A team player who is able to work both independently and as a leader when required
- Demonstrated ability to work effectively with shifting deadlines and conditions and conflicting priorities
- Certified JHSC member considered an asset
- Bilingual English /French considered an asset
