Provides a variety of administrative and secretarial duties in direct support of the Director, Supply Chain Management (Manager, Supply Chain Services), General Counsel (Manager, Contracts Administration) and staff of both departments with minimal guidance. Maintains a close and highly responsive relationship with personnel and independently manages the day-to-day operation and activities of the departments. Ensures accuracy and completeness of correspondence and written materials. Addresses any concerns that may affect the Supply Chain Services and Contracts Administration teams, and ensures that a professional response is received by all who contacts the team. Maintains supportive, positive relationships with Supply Chain Services and Contracts Administration Staff.
Processes department/corporate invoices, schedules meetings and meals, order department supplies, performs vehicle check-out and reporting, calendar maintenance, routes mail and tracks budget items, participates in special projects and the planning of those projects with a minimum of detailed guidance. Handles confidential information with discretion.
Education: High School diploma.
Experience: Four years secretarial (with administrative duties). Proficient in Microsoft Office Suite (PowerPoint, Excel, Word) and Outlook. Good communication skills (both verbal and written) and good interpersonal skills.
Equivalent Experience: Eight years of secretarial (with administrative duties). Proficient in Microsoft Office Suite (PowerPoint, Excel, Word) and Microsoft Outlook. Good communication skills (both verbal and written) and good interpersonal skills.
Licenses, Certifications and/or Registrations: Certified Administrative Professional (CAP).
Specialized Skills (e.g., typing, computers, software, tools and equipment uses, etc.): Microsoft office suite (Word, Excel, PowerPoint, etc.), SharePoint, Business Objects, InfoPath, Lawson, Landmark, Survey Monkey ; must have polished interpersonal skills; must take ownership of work product and show initiative with minimal supervision; significant ability to multi-task, prioritize and maintain flexibility with work assignments.
