The Proposal Coordination Associate will provide general administrative and proposal coordination support for Freedom House’s Strategy, Development and Learning (SDL) division. Depending on experience, hiring at the Senior Proposal Coordination Associate level may be possible. This position is based in Washington, DC and reports to the Senior Director for SDL.

PRINCIPAL DUTIES:

  • Administrative support (20% time). Provide general administrative support to the Senior Director and the Business Development Manager, including support with scheduling, travel arrangements, file maintenance, and expense reporting

  • New business development and tracking (50% time): under the supervision of the Business Development Manager, track business forecasts, disseminate calls for proposals internally, communicate SDL proposal development processes to other teams, ensure timely communications and completion of tasks across SDL and other teams, review and submit completed proposals, track wins/losses and donor feedback, coordinate SDL’s post-award support for the team implementing the award (though no actual program implementation duties are entailed in this position). These tasks can occasionally involve working overtime hours at night and on weekends to meet tight deadlines

  • SDL business process support (20% time): Contribute to the maintenance of databases and the preparation of reports, proposals, monitoring and evaluation plans or reports, press releases, budgets, and other documents as requested  

  • Other duties include

    • Conduct desk research as requested by supervisors

    • Assist in developing and producing promotional materials on FH programs

    • Share knowledge of tasks with interns and assist interns as required

    • Ensure all work products comply fully with standards, policies and mission of Freedom House

JOB QUALIFICATIONS:

Education: Bachelor’s degree in social science, international relations, area studies or a related field 

Training or Certification: MS Office Suite, specifically Excel and Word; basic accounting

Experience:   

  • Associate level: one year related experience or combination of education, training and experience;

  • Senior associate level: three years related experience or combination of graduate education, training and experience required; experience with donor-funded democracy, rights and governance programs strongly preferred

  • Experience working or studying abroad preferred

Skills and Competencies:

  • Strong ability to communicate effectively in English, both verbally and in writing

  • Mastery of MS Office Suite

  • Knowledge of human rights principles and mechanisms, and understanding of democracy promotion

  • Ability to accurately and efficiently manage database records

  • Knowledge of basic accounting principles and grant-related compliance requirements

  • Strong ability to conduct research using varied sources and present findings verbally and in writing

  • Ability to consistently apply good judgment in problem solving and decision making

  • Ability to maintain the highest degree of confidentiality regarding all aspects of work at all times

  • Ability to represent Freedom House professionally, in conduct and personal appearance

  • Strong interpersonal skills, and ability to succeed in a diverse and multicultural environment

  • Ability to collaborate with others and work as an effective team member for the success of the team

  • Strong ability to plan, organize, prioritize work, and multi task to meet tight deadlines

  • Ability to apply superb attention to detail and consistently produce timely and error-free work

  • Flexibility and willingness to adjust schedule as needed to complete assigned tasks
